10 Tips on How to Return a Leased Copy Machine!


Over the years, I would say that ninety percent of my clients leased their copiers with an option to buy the copier at the end of the term. Most of these leases had a buy out option for FMV (Fair Market Value). The general idea of an FMV lease is that the customer has no intention of ever owning the equipment and they will return it at the end of the lease.

Most leasing companies have been and still are very aggressive with FMV rates (interest), however most will have clauses in the leases that you must notify them in writing before the end of the term. All of the leasing companies have a "Window" clause, meaning you only have "x" amount of time when you can notify them, some are not more than 90 days prior to the end of the term and others are not more than 180 days and not less than 90 days. Make sure you read the lease!!!

Here's a few helpful tips for you:

1) Read the lease and be familiar with the return clause, Make sure you notify with in the parameters of the lease contract.

2) Set a reminder in MS Outlook or another contact management program to remind you to submit your LOI (Letter of Intent), state whether you will return or you wish to purchase.
3) Send all correspondence via certified mail oR Fedex, where you will get a signature that they received your letter.

4) Make sure that the system is in good condition, make sure the system makes a clean copy/print and make sure all of the accessories are working (some leases now have clauses that they will charge you for parts and labor if the system was not returned in good working order).

Ricoh Aficio MP C2550 Presented With Five Star Rating


WEST CALDWELL, N.J., June 15 /PRNewswire/ -- Ricoh Americas Corporation announced today that its Aficio MP C2550 color multifunction product (MFP) was awarded a five star rating from Buyers Laboratory Inc. (BLI) in environmental performance. As a result of BLI's rigorous evaluation process, the device was recognized as offering the lowest annual energy consumption and cost of all the Segment 2 models tested to date.

During the testing, the Aficio MP C2550 used significantly less energy in all running modes, including color, black-and-white, simplex, duplex, copy and print, when compared with competitive models in its speed range. A few things you should know about this unit. Ricoh and other manufacturers have also relabled this unit. The toner cartridge is an all in one cartridge, meaning that the cartridges houses the drum, cleaning unit, and toner. Cost for color is about $100 per cartridge, thus the cost per page for each color cartridge is .05 (5 cents). Black is about $50 per cartridge, thus the cost per page for black is .025 (two and a half cents). When making color copies or color prints based on 5% coverage per color, this unit will cost you an astonishing .175 (seventeen and a half cents per page). The thermal transfer and fuser are rated for the life of the unit. You also need to replace a waster toner container about every 25,000 pages.

Here's my pet peeve about this unit, Kyocera claims a max volume monthly duty cycle of 50,000 pages! Huh??? What? If you did make 50,000 pages on this device in one month, you would have paid $8,750 for the consumables and would probably have to buy a new unit, it would also take 40 hours to make those prints. Good for the very low volume user (home office), not so good for office work groups. The cost per page for color is too high!

Should I get a Ricoh or Canon?

I picked this question up this AM from my email, and thought I would post here for everyone.

My firm is deciding between Canon Brand digital copiers and Ricoh. Which should we choose and why?

"thewindmaster_11" has got it wrong about IKON, they are now owned by Ricoh and only sell Ricoh, thus he may not be a reliable source to answer your question of which is better, Ricoh or Canon. He does have a good point in reference to support. Check out support references from all parties involved.

Getting the right machine may depend on what type of business you are in and what type of volume you are looking to produce. The copiers of today are no longer about speeds and feeds, but rather what type of "apps' that can be added to improve your business process. Yes, today's copiers are similar to iphones, where apps can be loaded on the systems operating system to improve scanning, faxing, and document management, plus many additional options.

Another item to consider is what is the largest paper size that you will print, copy or scan from the unit, if you have no need for 11x17 scan, copy or print and your volume is under 15K per month, you could save thousands of dollars on a "A4" MFP device.

Ask the rep how long he or she has been with the company, as stated before there's a lot more to these devices than speeds and feeds and the new reps do not have the knowledge of those reps that have tenure in the business.
