New Print Audit® Case "School" Study Showcases a MPS Success Story

Print Audit 6 helps Ohio public schools reduce paper waste by 2.2 million pages and sets an example of environmental responsibility for students and staff

CALGARY, ALBERTA (January 27, 2010) – Factoring in the printing habits of teachers, students, and administrators, schools often use considerably more paper than is necessary. With almost 4,000 students and 1,000 computer workstations, Garfield Heights School District in Ohio consumed literally tons of paper each semester. The school contacted their office equipment provider ComDoc with the duel goal of conserving resources and reducing their impact on the environment.

The results of ComDoc’s solution, which have been published in Print Audit’s newest case study, include an 11-ton reduction in paper waste and a 32 percent decrease in color printing volumes.

“Print Audit 6 has allowed us to virtually eliminate our school’s inefficient document creation practices,” stated Shari Bailey, IT Administrator for Garfield Schools. “We can now control what the staff members and students are printing and copying and we have a much better understanding of how our printing devices are being used.”

ComDoc’s solution for Garfield Schools combined the power of 29 new, high-efficiency print devices with Print Audit’s flagship suite of print management tools, Print Audit 6. Print Audit Rules gave administrators the power to dictate where and how documents could be printed while Print Audit Analysis allowed them to better understand how their print environment functioned. At the same time, Print Audit Embedded and proximity cards allowed the schools to accurately track and manage the usage of multi-function devices and walk-up photocopiers.

All in all, the school system reduced its paper consumption by 2.2 million pages in one year – an amount equal to 285 trees, 244,407 gallons of water waste, 64,703 pounds of CO2 emissions, and 329,000,000 BTUs.

Print Audit Launches New Training And Installation Services

Print Audit’s new professional services provide dealers and end-users with installation and configuration assistance, technical training and sales courses

CALGARY, ALBERTA (July 2009) – Deploying a new print management solution can help businesses save resources, increase efficiency and improve their bottom line. However not all companies have the time and technical resources to deploy and configure Print Audit’s solutions on their own. To help with this, Print Audit is launching a variety of new training and installation services for both equipment dealers and end-users.

Print Audit’s professional services are designed to minimize inconvenience, expedite deployment and to allow company employees to focus on their regular tasks and projects during the transition. Organizations are now able to schedule remote or onsite technical assistance from a Print Audit professional services team member.

Print Audit is also offering online and onsite training classes to IT staff and office equipment dealers. Technical courses provide professionals with the tools needed to effectively plan and implement Print Audit’s solutions. Sales coaching courses arm dealers with strategies to identify hidden opportunities, beat out competitors and increase revenue from both new and existing customers.

"One of Print Audit's fundamental goals is to make our print management tools as intuitive and easy to use as possible," said John MacInnes, President and CEO of Print Audit. "Each company we work with is different and has unique needs. With these new services, companies that prefer to be guided through the software deployment process can now have onsite access to Print Audit’s award winning support team."

Print Audit Adds Machines In Field Report To Facilities Manager

New Facilities Manager report allows office equipment dealers to uncover more opportunities within their Managed Print Services accounts.

CALGARY, ALBERTA (July 2009) – Print Audit, the print management company, announced today that it has added new functionality to Facilities Manager that will assist office equipment dealers in taking more control of the volumes at their customer sites. The innovative Machines in Field report allows dealers to generate a report that reveals how many pages are being created on devices which are currently not included in their managed print services program.

Facilities Manager is a powerful, easy to use tool designed to remotely collect meter reads, automate supplies fulfillment and report service information for managing fleets of printers, copiers, fax machines and multi-function devices. The Machines In Field report details the percentage of color pages and the percentage of total volumes dealers are capturing at any given customer site.

“It’s common for dealers to significantly underestimate how many pages their managed print services program is losing to competing, unmanaged devices,” said John MacInnes, President and CEO of Print Audit. “The Machines in Field report will help our dealers to develop strategies to both reduce their customer’s costs and increase their own profits.”

Dealers can use the data provided by Facilities Manager in conjunction with Print Audit 6 Rules in order to redirect jobs from the unmanaged devices to their own more cost effective devices. Print Audit 6 Rules is a print management tool which allows companies to fully control how their printers are used. Rules can be configured to redirect jobs from high-cost to low-cost devices, limit color printing to specific devices, force users to print on both sides of the page and more.

Print Audit Assessor Usage Soars in 2009

Office equipment dealers are opening doors and closing sales by using Print Audit Assessor’s detailed analysis tools to pinpoint new opportunities

CALGARY, ALBERTA (May 27, 2009) – In the current economic climate, office equipment dealers are seeking better differentiators while potential customers are looking for hard evidence that any new office equipment they purchase will pay off. Print Audit Assessor provides a working solution for both of these vendor and customer concerns – and its effectiveness has been proven by its steadily increasing popularity. In the past 5 months, Assessor usage has reached record heights, with installations growing by 40 percent over last year.

Developed by leading print management company Print Audit, the Assessor gives dealers the ability to provide potential customers with an extremely detailed and accurate snapshot of their printing environment. Unlike rapid assessment tools, Print Audit Assessor is able to gather comprehensive workflow data that includes who is printing, what documents are being printed, the size of each job and more.

"Using Print Audit software allows us to begin a fact-based conversation with our customers about their actual, not perceived document usage,” said Boyd Smith, President of TechKnowledgey Inc. “Using Print Audit gave our suggestions for change validation, and we were able to secure an 11-unit deal based on the results Print Audit discovered in the field.”

“Office equipment dealers and their customers are struggling in today’s economy,” said John MacInnes, President and CEO of Print Audit. “The Assessor helps both parties: the dealer has an advantage over their competitors as well as a complete map of their client’s needs. The client is given proof that they need new equipment and that they will have a quick return on investment.”

Currently, Print Audit is offering a Guaranteed Deal Package that will allow vendors to try the Assessor program risk free. In addition, dealers can earn a free Assessor package for each assessment they perform that leads to the sale of a Print Audit product.

Print Audit Green for "Eric the Office Worker"

So, you just bought a shiny new Color "Green" MFP. You know the system, your salesperson touted the "Green" features such as default auto off, default power save mode, default duplex copying, the small carbon foot print and scan2distribute.

So, what good is all of this if you can't control printing? Did you know that the average employee prints 34 pages a day and 17% of those pages are never used?

Do you think that "Eric the Office Worker" knows the cost per page of every MFP and printer in the office? What stops "Eric the Office Worker" from printing a 50 page color report to an ink jet printer (that can have a per page cost as high as 60 cents a page), just because he did not want to walk to the Color MFP that prints at .08 cents per page. Well, the idea of "Eric the Office Worker" not taking the short walk just cost you an extra $26 from one employee. Think of the abuse when you have 50 employees and this happens more than once a day.

Rules based printing, what does this mean to "Eric the Office Worker", well the next time "Eric the Office Worker" prints a report he will get a pop up alert on his pc that directs him to print green to this device (meaning the device with the lowest per page cost). Plus the fact that all of management will know when and where "Eric the Office Worker" is printing. So, if "Eric the Office Worker" does not print responsibly he could have a new "Green" job cutting the grass around the office!

Did you know that Print Audit Green on the average reduces your printing by 15%? Taking a closer look, I have a client who produces 200,000 prints each month on their MFP's. A 15% reduction would lower those pages to 170,000. So, that's 30,000 (that's more than 3 trees a day you are saving from the mill) less sheets of paper at .008 for a savings of $240. Then 30,000 less meter clicks per month at .01, this will be a savings of 300.00. Overall savings is $540 per month, cost to implement Print Audit Green in their environment (about 50 users) would be $146.25 per month. Savings WOO YAA of $393.75 per month.

Here's some more cool facts about Print Audit:

Understand your environmental impact

•Monitor 100% of the printing in your environment to spot abuse and waste.
•Learn who is printing to where and when.

Reduce unnecessary printing and waste
•Cut waste through the knowledge that all printing is being monitored.
•Decrease abuse by forcing duplexing, and restricting color printing.

Create green-friendly and cost-conscious users
•Utilize printing limits or redirect users to use more efficient devices.
•Educate users of the costs and environmental impact of each print job they print.

Not once in the last 10 years did a customer every present a print or copy report to me on an appointment. Thus, showing that the average company has no idea of how many pages are copied, printed, and scanned. Nor do they have any idea of the cost associated with their volume and hardware. How the heck can you be in business and not know this? Print Audit should be in every office, even if it's only used at the end of the year to review how many pages were used and what the cost was per page.

Did you know that you can enable Print Audit Green Software for less than 10 cents per day per employee?

Sharp Partner Marketing Program Validates Print Audit 5 Embedded

I for one would love to the chance to add widgets with the Sharp OSA technology. The technology is awesome and others will have to follow Sharp's lead with OSA technology. I had heard at the Sharp Dealer Show that they had these systems set up as Kiosks, where people would check in and then their Dealer Badges were automatically printed!!!!

Calgary, Alberta - September 18, 2008 - Print Audit and Sharp Electronics Corporation have joined forces through the Sharp Partner Program, ensuring that Print Audit 5 Embedded is fully compatible with Sharp OSA-enabled devices. This new alliance will pair the unique features of Print Audit's print management software solution, Print Audit 5 Embedded, with Sharp OSA-enabled multifunction peripherals (MFPs), creating a seamlessly incorporated workflow.

Tightly integrated with Print Audit 5, Print Audit 5 Embedded is a comprehensive print management solution that allows organizations to analyze, reduce and recover costs related to walk-up copying, printing, scanning, and faxing. Sharp OSA technology extends MFP applications to numerous vertical business categories and helps businesses to improve productivity, reduce operational costs and target specific business needs.

"This is a key and mutually beneficial alliance that not only showcases the best features of both companies' products and services, but also illustrates our continued commitment to meeting the needs of our customers," said John MacInnes, President and CEO of Print Audit. "Sharp shares our dedication to excellence, quality, and innovation, and we look forward to working together to provide our customers with the best print management solutions available."

"Print Audit is leveraging the open, flexible development capabilities of Sharp OSA technology to create innovative document management solutions for users of Sharp OSA-compatible MFPs," said Tom Davis, Vice President Marketing Applications Development, Sharp Imaging and Information Company of America. "Print Audit 5 Embedded gives an organization the ability to save money and time by providing a seamless solution for managing walk up MFP use."

In addition to ensuring that Print Audit 5 Embedded is fully compatible with Sharp OSA-enabled MFPs, the alliance will also allow Sharp dealers to take advantage of other Print Audit products that are designed to help dealers sell more hardware and increase their post sales revenue. For example, dealers have the ability to perform comprehensive print assessments using Print Audit Assessor while Print Audit 5's rules-based features provide the ability to restrict printer usage and redirect high-cost jobs to more efficient devices.

The added value of these distinctive Print Audit 5 features has helped Print Audit's partnered office equipment dealers bring in $450 million in additional hardware sales.
